Credit Card Processing Fee Calculator
Use this credit card processing fee calculator to estimate what card acceptance costs your business. Enter sales volume, transaction counts, percentage fees, fixed fees and recurring charges. Compare total fees, the effective fee percentage and net receipts, then test a second pricing offer using the same sales and transaction mix.

Enter the amounts that are actually processed
Use gross processed card volume for the selected month. Enter the number of successful transactions separately. Fixed per-transaction charges make the count important: two businesses can process the same dollar volume but pay different fees because one handles many small purchases.
Separate in-person, online, manually entered and other pricing categories when your contract charges them differently. Use the amount the processor applies its percentage to. If that basis includes tax or tips, include those processed amounts rather than only product revenue.
Add monthly gateway, service or account fees that belong in your comparison. Keep equipment rental and optional software charges visible so you can decide whether the same scope is being compared across providers.
Choose a pricing model without double counting
For a flat-rate offer, enter the quoted all-in percentage and fixed amount per transaction for each channel. For an interchange-plus comparison, enter the applicable interchange, assessment and processor components separately, or use an effective combined rate taken from a representative statement.
Helcim’s fee documentation distinguishes interchange, network assessments and processor markup. Do not add those components on top of an all-in rate that already includes them.
The calculator does not infer a card mix from your industry or choose the cheapest provider from a changing price database. Its comparison is only as representative as the inputs you enter.
How processing fees are calculated
For each pricing channel:
Transaction fees = processed volume × percentage rate + transaction count × fixed fee.
Add the channel totals, recurring charges and separately entered event fees. Subtract any fee credits actually applied. Divide total fees by gross processed volume to calculate the effective fee percentage.
Refunded sales reduce receipts, but they do not automatically erase the original processing fee. For example, Stripe’s standard-pricing refund guidance says original processing fees are not returned. Other contracts can differ, so enter the fee credit shown by the agreement or statement instead of assuming a universal refund rule.
When the business is a platform or payment facilitator rather than a merchant comparing processor offers, use the payment processing cost-stack guide to separate merchant price from interchange, network, sponsor, processor, risk, operations, and fixed program costs.
Worked example
Suppose a hypothetical offer charges 2.5% plus $0.10 per successful transaction and $30 monthly. You process $10,000 across 200 transactions:
| Fee component | Calculation | Cost |
|---|---|---|
| Percentage fees | $10,000 × 2.5% | $250 |
| Fixed transaction fees | 200 × $0.10 | $20 |
| Monthly charge | Entered amount | $30 |
| Total fees | $300 |
The effective fee percentage is 3%, not 2.5%. If $500 of sales is refunded and no processing fees are credited, modeled receipts after refunds and fees are $9,200. This is not business profit: product costs, payroll, taxes and other expenses are outside that result.
These are illustrative proposal terms, not current advertised rates for a named provider.
Compare offers using the same transaction size
Suppose another hypothetical plan charges 2.9% plus $0.30 per transaction and no monthly fee. At a $50 average transaction, its variable cost is 3.5% of volume. The first plan’s variable cost is 2.7%, plus its $30 monthly charge.
The plans break even at $3,750 monthly volume under that fixed transaction-size assumption. Both cost $131.25 at that point. Above it, the first plan is cheaper in this simplified scenario; below it, the second is cheaper. A different ticket size or channel mix changes the crossover.
Use the business break-even calculator to connect processing expense with pricing and contribution margin. If you operate a platform earning payment revenue, the embedded payments unit economics calculator addresses a different business model.
Refunds, disputes and settlement timing
Keep refunded principal, lost dispute principal and dispute fees separate. The original transaction fee is already counted once; add only genuinely additional event fees. A temporary reserve withheld by a processor affects available settlement cash but is not automatically an expense.
Use a consistent period when comparing statements. Refunds or credits relating to earlier sales can make a month look unusual. The calculator displays such adjustments rather than forcing a misleading ordinary fee percentage when no gross volume is entered.

Frequently asked questions
Why is the effective percentage above the advertised rate?
Fixed transaction charges, monthly fees, channel differences and event charges can increase the total. Inspect the breakdown instead of comparing only the headline percentage.
What if I have no sales but still pay a monthly charge?
The dollar cost still appears. The effective percentage is undefined because dividing by zero sales would not produce a meaningful rate.
Does this tell me whether I can surcharge customers?
No. This estimates merchant costs; it does not determine surcharge permission or compliance with contracts, card-network rules or applicable law.
Does the lowest fee estimate guarantee the best processor?
No. Compare contract terms, included services, settlement arrangements and actual processing needs alongside cost.
